1. Who we are

ProHive Ltd ("ProHive", "we", "us") is the data controller for the personal data described in this Privacy Policy. You can contact us about any data matter at privacy@prohive.co.uk.

2. What personal data we collect

We collect the information you give us directly when you use ProHive. Specifically:

  • From homeowners (clients): name, email address, postcode, and the content of any enquiry message you send to a tradesperson.
  • From tradespeople: business name, business address, trading details, profile photo, work photos, bio, accreditations, Public Liability Insurance certificate, photo ID, Companies House number and VAT number where applicable.
  • From everyone: account email, basic technical data (such as IP address and browser type) and cookies used to keep you signed in and to remember your preferences.

3. How we use your data

We use your personal data to:

  • Operate the ProHive platform and your account;
  • Verify tradespeople and protect homeowners;
  • Pass on enquiries to the tradesperson you have chosen to contact;
  • Process subscription payments where applicable;
  • Investigate reports and prevent fraud or abuse;
  • Send you essential service notifications.

4. How your data is stored

Your data is stored securely on Lovable Cloud (powered by Supabase) within UK and EU data centres. Access is restricted to authorised ProHive staff and is protected by encryption in transit and at rest. Verification documents are kept in a private storage bucket and are never publicly accessible.

5. Who we share your data with

We share your personal data only as needed to run the service:

  • Enquiry details (your name, email, postcode and message) are shared only with the specific tradesperson you have chosen to contact, so they can reply.
  • Profile information that tradespeople have made publicly visible (business name, trade, bio, photos, reviews) is shown on the public profile page.
  • Verification documents are reviewed by ProHive verification staff only. They are never shared publicly, with other tradespeople, or with clients.
  • We do not sell your personal data and we do not use it for third-party marketing.

6. How long we keep your data

  • Enquiries (including the name, email and message you submit) are kept for 2 years from the date they were sent, so that ProHive can verify reviews and respond to disputes.
  • Verification documents (insurance certificates and photo ID) are kept for the duration of the tradesperson's subscription and are deleted when their listing is cancelled.
  • Account data is kept while your account is open. When you close your account we delete personal data we no longer need.
  • We may retain anonymised statistical data indefinitely.

7. Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you;
  • Correct data that is inaccurate or incomplete;
  • Delete your data ("right to be forgotten"), subject to any legal obligation to retain it;
  • Object to or restrict certain processing;
  • Request a copy of your data in a portable format;
  • Withdraw consent at any time where processing is based on consent.

To exercise any of these rights, email privacy@prohive.co.uk. We will respond within 30 days.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies

We use a small number of essential cookies to keep you signed in and to remember your preferences. We do not use advertising cookies.

9. Changes to this policy

We may update this Privacy Policy from time to time. The current version is always available at this page and applies from the date shown at the top.
